Guidance for Completing Form I-9 Employment Eligibility Verification
All staff, faculty, and casual employees are required to complete the Form I-9 with the Office of Human Resources.
All new PPPL staff hires will complete the Form I-9 with the PPPL HR.
Student workers are also required to complete the Form I-9. Graduate students should refer to The Graduate School and undergraduates to the Student Employment Office.

The Form I-9 Employment Eligibility verification was created by the United States Citizenship and Immigration Services (USCIS) and is used for verifying the identity and employment authorization of individuals hired for employment in the United States. All U.S. employers must ensure proper completion of Form I-9 for each individual they hire for pay in the United States. This includes citizens and noncitizens. New hires are legally required to complete the Form I-9 within three business days of their start date. You will not be paid until you complete the Form I-9.

- Email instructions will be sent from [email protected] titled “Form I-9 Access for New Hire: Must Complete Prior to Work”
- Section 1 – ONLINE: Due on or before first day of work.
- Section 2 – ON CAMPUS (schedule appointment): Due within 3 business days after start date or earlier.
Example Scenario
- First day of work begins on Monday.
- Section 1 must be completed on or before Monday.
- Section 2 must be completed no later than Thursday.
Additional Information
- First day of work is considered your start date as set by your department. For those teaching, your start date may be earlier than your first day of classes.
- If you live within the tri-state area (NJ, NY, or PA), you are required to come in for a physical document verification. If you live outside of the tri-state area, contact [email protected].

Employee Name & Identification
- Enter your name exactly as it appears on your identification documents (required field).
- Enter your date of birth (required field).
- Enter your U.S. Social Security Number. If you do not have a U.S. Social Security Number, leave it blank.
Employee Address & Contact Information
- Enter your complete U.S. address. If you do not have a U.S. address, use your department’s address.
- If you do not have a U.S. phone number at this time, you may enter N/A.
Employee Employment Status
In this section, you are required to attest to your citizenship or immigration status by selecting one of the four options provided. For more details, refer to pages 2-3 on Instructions for Form I-9, Employment Eligibility Verification (USCIS website).
Sign Form I-9 Electronically
- Confirm all required fields before selecting “Sign Form I-9 Electronically.”
- NOTE: You will not be able to return to Section 1. If you think you have made an error, contact [email protected].

After completing and submitting Section 1, you will bring your identification documents to an authorized HR representative to complete Section 2.
To complete the Employment Eligibility Verification (Form I-9) process, Human Resources representatives will be available to conduct physical inspection of your original documents by appointment. You should allow 10-15 minutes for your verification, which is considered paid work time. Appointments are encouraged and can be made online. If all appointment timeslots are taken within three business days of your hire date, walk-ins will be accepted until noon.
Employees must provide original documentation (no photocopies or scanned documents are accepted). Refer to the list of acceptable documents required to complete the I-9 process.
Failure to complete the above steps within three days of starting work may result in suspension or termination of employment.
